Roles and Responsibilities

The Faculty Quality Committee is responsible for:

• Preparing the strategic plan of the faculty.
• Evaluating academic and administrative services in line with the strategic plan and targets, improving quality, and supporting accreditation processes.
• Preparing the Faculty Internal Evaluation Report.
• Organizing preparations for external quality assessments by independent organizations and providing support for certification and post-evaluation processes.
• Communicating the decisions of the Quality Committee to relevant departments, programs, and sub-units, supporting implementation, and monitoring outcomes.
• Submitting an annual activity report to the Quality Committee by the end of January.
• Coordinating the Faculty External Stakeholder Advisory Board and involving external stakeholders in quality assurance processes.
• Performing other duties as defined in this directive and by the Quality Committee.

DEPARTMENTAL QUALITY AND ACCREDITATION COMMITTEES

• Directing departmental committees in accordance with accreditation standards.
• Aligning the department’s mission and vision with those of the faculty and university.
• Organizing program accreditation activities and department visits by accreditation bodies.
• Maintaining readiness for national and international accreditation applications.
• Preparing and updating the Department Self-Evaluation Report.
• Meeting at least twice per year to discuss current and upcoming work.

• Evaluate academic incentive applications according to the Academic Incentive Allowance Regulation.
• Review application files and supporting documents obtained from YÖKSİS.
• Request additional documentation when necessary.
• Assess eligibility of academic activities.
• Provide explanations for rejected or revised applications.
• Calculate academic incentive scores.
• Submit finalized decisions to the Academic Incentive Regulation and Objection Commission.

RECORDS APPRAISAL AND DISPOSAL COMMITTEE

DUTIES AND RESPONSIBILITIES

• Coordinates the identification, assessment, response, review, and reporting of risks at the sub-unit level.
• Reports newly identified risks related to sub-unit activities, changes in risk scores, and the effectiveness of risk-mitigation controls to the Unit Risk Coordinator (URC) at periods determined by the URC, in accordance with the university’s risk strategy.
• Provides information and documents requested by the Institutional Risk Coordinator (IRC).

DUTIES AND RESPONSIBILITIES

The commission carries out the following tasks:

• Checks graduation lists and grade status documents through the Student Information System.
• Reviews lists received from program coordinators and academic advisors and submits eligible candidates to the Department Chair.
• Oversees the process ensuring academic advisors examine transcripts of students eligible for graduation to verify completion of courses and ECTS requirements.
• Takes part in the organization of the graduation ceremony.

Exemption and Adaptation Commission

(Horizontal Transfer / Vertical Transfer / Double Major / Minor Programs)

DUTIES AND RESPONSIBILITIES

• Ensures adaptation and exemption procedures of students admitted through placement programs such as horizontal transfer, vertical transfer, re-admission via national exams, central placement, additional quotas, and summer school are carried out in accordance with the Bartın University Exemption and Adaptation Directive.
• Evaluates horizontal transfer applications.
• Organizes seminars each semester introducing double major and minor programs to students.
• Reviews applications of double major and minor students and determines eligible candidates.
• Monitors course registrations of double major and minor students.
• Provides end-of-semester notifications to students who fail to meet GPA requirements in double major or minor programs.
• Monitors academic performance of engineering completion students and informs them one or two semesters before potential dismissal.
• Checks course compatibility and approves course registrations for students attending summer school.
• Reviews main principles of exemption and adaptation processes annually and submits recommendations to the department board.
• Prepares a workflow plan to finalize exemption and adaptation procedures as quickly as possible after applications reach the department.
• Ensures adaptation of curriculum changes to updated course plans.
• Prepares an activity report at the end of each semester and presents it to the Department Academic Board.

DOUBLE MAJOR AND MINOR PROGRAM ADVISORS

DUTIES AND RESPONSIBILITIES

• Provides students with detailed information about double major and minor programs.
• Reviews application documents related to double major and minor programs and carries out required procedures.
• Collaborates with the student’s academic advisor to ensure programs are conducted in accordance with their objectives and requirements and jointly evaluates student progress.
• Provides timely and clear feedback based on students’ skills and academic performance.
• Guides students in adapting to double major or minor programs and accessing academic and communication resources while supporting their social integration.
• Cooperates with the Course Exemption and Adaptation Commission regarding adaptation procedures of double major and minor students.

STUDENT MOBILITY COMMISSION (ERASMUS, MEVLANA, FARABI)

DUTIES AND RESPONSIBILITIES

This commission operates in coordination with Bartın University Erasmus, Mevlana, and Farabi Offices in accordance with the university’s internationalization strategy to ensure effective implementation of mobility programs. Its responsibilities include:

• Informing academic staff and students about Erasmus, Mevlana, and Farabi mobility programs.
• Publishing announcements including application procedures when mobility application calendars are released.
• Increasing the number of partner institutions by establishing new mobility agreements.
• Guiding students in course selection prior to mobility.
• Monitoring course recognition procedures after mobility.
• Cooperating with the Exemption and Adaptation Commission regarding adaptation and exemption processes related to student mobility.

INTERNATIONAL STUDENT GUIDANCE AND COUNSELING COMMISSION

International Student Guidance and Counseling Commission

DUTIES AND RESPONSIBILITIES

• Guides international students regarding all student affairs processes during registration and throughout their academic period by coordinating with relevant university units.
• Organizes orientation programs for newly admitted international students and informs them about social support resources, opportunities, and conditions.
• Provides counseling services to help international students solve personal and social problems, make realistic decisions, develop their capacities, adapt to their environment, and improve academically, culturally, and socially.
• Prepares informational and promotional materials for international students.
• Provides guidance on campus life, accommodation, residence permits, and healthcare services.
• Develops solutions to academic and administrative problems faced by international students.
• Conducts activities to improve international students’ Turkish language skills in reading, writing, and speaking.
• Organizes activities introducing Turkish history, culture, and national values (seminars, talks, excursions, etc.).
• Maintains ongoing relations between graduated international students and the Faculty.
• Carries out activities aimed at attracting qualified international students to the Faculty.
• Prepares an annual activity report every August and submits it to the Dean’s Office.
• Performs additional duties assigned by the Dean’s Office within the commission’s scope.
• Informs the Dean’s Office before all activities and considers its recommendations during implementation.

DUTIES AND RESPONSIBILITIES

• Coordinates educational activities across faculty departments,
• Determines educational policies in line with the Dean’s Office mission and vision,
• Provides recommendations to improve teaching and learning processes within the Faculty,
• Ensures and monitors the alignment of educational programs across departments in accordance with MÜDEK criteria,
• Reviews and provides opinions on education-related issues referred by the Dean’s Office in line with institutional strategies,
• Contributes to university-level regulations (directives, principles, and procedures) related to education,
• Supports educational programs with innovative approaches such as R&D, innovation, and entrepreneurship.

DUTIES AND RESPONSIBILITIES

This working group operates to raise project awareness within the unit, ensure effective information flow, and strengthen coordination among stakeholders. Its responsibilities include:

• Encouraging project proposals aligned with Bartın University’s specialization areas,
• Monitoring external funding calls and sharing them with departments,
• Organizing training sessions and workshops to develop a project-writing culture,
• Developing project proposals suitable for external funding calls and leading application processes,
• Establishing interdisciplinary project opportunities through collaboration with other units.

Event Organization Commission

DUTIES AND RESPONSIBILITIES

The commission is responsible for planning and coordinating events within the Faculty. Its duties include:

• Coordinating and supporting events organized on special days associated with the Faculty of Science,
• Leading the organization of scientific and social events hosted by the Faculty,
• Collaborating with leading institutions and experts to organize national congresses and conferences,
• Supporting and organizing activities that enhance the Faculty’s and University’s international visibility, including international congresses and conferences,
• Providing planning support for other events designated by the Dean’s Office.

MEASUREMENT AND EVALUATION COMMISSION

Measurement and Evaluation Commission

DUTIES AND RESPONSIBILITIES

• Develops and implements methods such as surveys and analyses for measurement, evaluation, and self-assessment of departmental activities,
• Reviews agenda items of Academic Department Boards in terms of compliance with measurement and evaluation techniques and provides feedback,
• Designs survey processes, including timing and evaluation methods, and submits them to the academic board,
• Prepares, administers, evaluates, and reports instructor evaluation surveys; monitors course files and reports deficiencies,
• Determines and applies methods to measure and evaluate program objectives and learning outcomes,
• Analyzes evaluation results and reports them to the Quality and Accreditation Commission,
• Maintains coordination and communication with the Quality and Accreditation Commission.
